Erasmus+ Student Traineeship Mobility is an Erasmus+ activity that enables students to gain professional experience related to their academic field of study by undertaking internships abroad at a company, research institute, laboratory, higher education institution, or other suitable institution/organization. The internship must be related to the student's field of study, professional development, and the competencies they are expected to acquire. Under Erasmus+ rules, long-term traineeship mobility can generally last between 2 and 12 months; however, the duration and project opportunities for which funding will be provided may be more limited as announced by the University.
This guide is designed to help you understand the fundamental stages of the process, from applying and finding an internship placement to pre-mobility documentation and post-mobility recognition and closing procedures.
What is Internship Mobility?
Internship mobility is when a student enrolled at Sivas Cumhuriyet University gains professional practice and work experience for a specific period at a suitable institution or organization abroad, related to their academic field of study. Simply attending classes at the higher education institution is not considered internship mobility. The essential element of an internship is the student's participation in professional activities within a predetermined work program and the achievement of learning outcomes.
Internships can be part of a student's mandatory internship program, or, in cases where a mandatory internship is not included in the curriculum, they can be an optional activity supporting the student's academic and professional development. If the internship is part of the student's curriculum, it is essential that it is appropriately recognized academically; if it is not part of the curriculum, it is essential that the activity is documented using the relevant recognition tools.
The rules specified in Sivas Cumhuriyet University's relevant Erasmus+ announcement also apply. Within the scope of our university, internship mobility must be carried out while the student is still enrolled and completed before graduation.
Where can I do an internship?
Traineeship mobility can take place in various types of institutions and organizations, provided it is compatible with the student's academic field and planned traineeship program. These may include businesses, research centers, laboratories, public or private sector organizations, non-governmental organizations, and other suitable work environments. Erasmus+ also supports higher education students in undertaking traineeships in suitable work environments abroad.
It is also possible for the internship to be carried out at a higher education institution. However, in this case, the activity must be a real internship or work program, not a coursework program. If the internship is to be carried out at a higher education institution in a country associated with the Programme, the host institution must have a valid ECHE (Educational Charter for Higher Education). In internship mobility, unlike study mobility, inter-institutional agreements between the sending and receiving higher education institutions are not mandatory for countries associated with the Programme.
Who can apply?
Application requirements are detailed in the Erasmus+ application announcement published for each application period.
In general, the student:
- Being a full-time enrolled and active student in formal education at Sivas Cumhuriyet University,
- meeting the academic requirements announced for the relevant mobility,
- meeting foreign language and other assessment requirements,
- the internship they plan to undertake should be related to their academic field of study,
- fulfilling the other requirements stated in the application announcement
is necessary.
Higher education student mobility is open to students enrolled in formal higher education programs; the final application and selection criteria are determined in the relevant announcement of the University.
For exact conditions, always refer to the most current Erasmus+ announcement.
What should I do before applying?
In internship mobility, unlike study mobility, it is not always necessary for the student to choose from a specific list of partner universities. Therefore, researching internship placements is an important part of the process.
Before applying:
- Determine which field you would like to do your internship in.,
- Research institutions and organizations related to your academic field.,
- Evaluate whether your department will consider the internship you wish to do academically appropriate.,
- Learn about the duties and responsibilities of the internship in advance.,
- Check the organization's working language and the required foreign language level.,
- Compare the mobility dates with your academic calendar.,
- Check the duration of the internship.,
- If available, prepare your internship acceptance letter and any other documents requested by the institution.,
- Carefully review the latest Erasmus+ application announcement.
When choosing an internship location, you should consider not only the country or city, the relationship of the job to your academic field and the professional benefits it will provide you should be taken as a basis.
Should I find my own internship placement?
Generally, it is the student's responsibility to research internship placements and contact a suitable institution.
Students can contact institutions abroad directly; they can submit their resumes, short motivation letters, and desired internship dates to the relevant institution.
Internship opportunities may be announced periodically by the Erasmus+ Institutional Coordinator; however, finding internship placements or assigning students to institutions is not the responsibility of the Erasmus+ Institutional Coordinator.
It is usually helpful to clearly state the following information during the initial contact with the internship organization:
- the university and department you are a student in,
- your level of education,
- your area of expertise or interest,
- your requested internship dates,
- If you wish to undertake a mobility program under Erasmus+,
- The tasks you would like to complete as part of your internship,
- Your current resume.
What is an Internship Acceptance Letter?
Generally, the document showing that the institution where you want to do your internship has accepted you as an Erasmus+ intern between specific dates is required. Acceptance Letter, Traineeship Acceptance Letter or it may be organized under similar names.
If possible, include the following in the document:
- student's first and last name,
- Name of the accepting institution,
- internship start and end dates,
- unit or department where the internship will be done,
- Basic information about the planned activity,
- Name, position, and approval of the institution's official.
It should be included.
The Turkish National Agency Handbook lists the acceptance letter from the host institution among the documents that must be included in the student mobility file.
Whether an acceptance letter is mandatory during the application process, or any specific evaluation criteria for candidates submitting an acceptance letter, will be specified separately in the relevant Erasmus+ announcement.
How to Apply?
Applications are submitted through the system and within the dates specified in the Erasmus+ application announcement published for the relevant period.
The documents required for application may vary depending on the application period.
Before the application is complete:
- personal information,
- academic information,
- contact information,
- the preference for internship mobility,
- if available, the date and institution information in the acceptance letter,
- uploaded documents
It must be ensured that it is accurate and up-to-date.
Simply registering your application in the system may not be sufficient. All application steps specified in the announcement must be completed within the deadline.
Evaluation and Selection Process
Applications for traineeship mobility are evaluated according to the assessment criteria previously outlined in the relevant Erasmus+ announcement.
Based on the evaluation results, the candidates are:
- royal,
- spare,
- He didn't win.,
- invalid application
It can be announced in different situations, such as these.
In the results announcement, the student with or without grant Further information regarding its placement can be found.
After the results are announced, the announcement text, the results statements, any waiver period, and the actions required of the student should be carefully followed.
Being selected for mobility does not mean that all mobility procedures have been completed. The student must also complete all necessary pre-mobility procedures, including eligibility verification, documentation, insurance, and contracts, related to the internship institution.
What happens after you qualify?
For students who have been selected for and confirmed their participation in the Erasmus+ traineeship mobility program, the mobility preparation process begins.
The general process is as follows.
1. Finalization of the Internship Institution
If the internship placement is not finalized at the time of application, the student must find a suitable host institution and complete the acceptance process.
The suitability of the chosen institution and internship to the student's academic field of study is evaluated by the relevant academic department. The Turkish National Agency Handbook also recognizes the student's registered department as the authority responsible for evaluating the suitability of the internship institution and its content.
Therefore, receiving an acceptance letter alone does not mean that the internship is academically suitable.
2. Learning Agreement for Traineeship Mobility
Learning Agreement for Traineeships
The Learning Agreement for Traineeships is the fundamental Erasmus+ document that defines the content of the internship and the responsibilities of the parties involved.
In this document, in general:
- internship dates,
- work schedule,
- Tasks and activities to be performed,
- knowledge and skills that the student is expected to acquire,
- monitoring and evaluation method,
- information regarding academic recognition
It is located there.
Before the internship activity begins, the necessary approvals must be completed by the student, the sending institution, and the receiving institution. The 2026 Turkish National Agency Handbook mandates that the Learning Agreement for Traineeship document be signed by all parties before the activity begins.
This should not be confused with the OLA process in course mobility. The current National Agency practice for preparing and signing internship agreements is determined separately for each period.
3. Academic Recognition Procedures
The form of academic recognition for internships differs from mobility. before It needs to be determined.
If the internship is to replace a mandatory or elective internship within the student's curriculum, the relevant academic unit will determine how this activity will be recognized. Internships carried out within the curriculum are expected to be fully recognized, preferably using ECTS credits. For internships not part of the curriculum, the mobility must be documented with appropriate documents such as a Diploma Supplement.
Therefore, it is important to clarify the recognition process with your department before starting your mobility program.
4. Completion of the Acceptance Document
A current acceptance letter showing the mobility dates and acceptance status must be obtained from the internship institution.
With the dates in the document:
- Learning Agreement,
- grant agreement,
- insurance,
- travel plan
It is important that the dates in other mobility documents, such as those mentioned above, are consistent with each other.
Things to do before mobility
Receiving acceptance from an internship institution does not mean that the Erasmus+ process is complete.
In general, before mobility:
- Confirmation of the academic suitability of the internship institution,
- Preparation of the Learning Agreement for Traineeships document.,
- Completion of necessary board/recognition procedures,
- receiving the acceptance letter,
- Preparation of the Erasmus+ grant agreement.,
- reporting bank information,
- obtaining the necessary insurance,
- Completion of visa and/or residence permit procedures,
- planning travel and accommodation,
- Submission of documents requested by the Erasmus+ Institutional Coordinator.
It may be necessary.
Students participating in Erasmus+ mobility programs are required to have mandatory insurance depending on the type of activity. Which types of insurance are mandatory should be checked in accordance with the student grant agreement and the university's current information.
Since the document and procedure list may not be the same for every student, please follow the Coordinator's updates regarding your personal file.
Grant Agreement
Before the mobility begins, an Erasmus+ student mobility grant agreement is drawn up between the student and the University.
The grant agreement includes the student's planned activity duration, applicable grant conditions, payment information, and the rights and obligations of both the student and the University. The grant agreement must be completed before the mobility period begins.
The Erasmus+ mobility grant is not a salary or wage that guarantees to cover all expenses that may arise during the internship. The grant amount and duration are determined according to the principles in the relevant project and application announcement.
During Mobility
Upon arrival at the internship institution, the student must follow the study program specified in the Learning Agreement for Traineeships document.
Especially during mobility:
- the date of actual start of the internship,
- the institution's working hours,
- assigned duties and responsibilities,
- internship period,
- Any necessary changes to the Learning Agreement,
- internship start and end dates,
- periods when leave of absence or the institution is closed,
- Procedures requested by the Erasmus+ Institutional Coordinator
It is the student's responsibility to follow along.
In the event of any significant changes to the internship program, dates, or work content, these changes should not be implemented solely on the student's initiative; the host institution, the relevant academic unit, and the Erasmus+ Institutional Coordinator must be informed, and the necessary approval processes must be completed.
If any problems arise at the institution where the internship is taking place, if the internship activity deviates significantly from the planned content, or if any situation arises that could affect the continuation of the mobility, the matter must be reported to the relevant parties without delay.
Is it possible to change institutions during an internship?
Staj hareketliliği belirli bir ev sahibi kurum ve önceden onaylanmış bir çalışma programı üzerinden yürütülür.
Bu nedenle öğrencinin kendi kararıyla staj kurumunu değiştirmesi uygun değildir.
After Mobility
Staj tamamlandıktan sonra hareketlilik kapanış ve akademik tanınma işlemleri gerçekleştirilir.
Öğrencinin dönüşte temin etmesi veya tamamlaması gereken belgeler duruma göre şunları içerebilir:
- hareketlilik başlangıç ve bitiş tarihlerini gösteren Certificate of Attendance / Confirmation of Stay veya eşdeğer belge,
- tamamlanmış Learning Agreement for Traineeships,
- stajdaki başarı ve değerlendirmeyi gösteren Evaluation of the Trainee bölümü,
Points to Consider
Staj hareketliliğinde her kurumun başvuru, kabul ve çalışma süreçleri farklı olabilir.
Bu nedenle:
- staj kurumuyla yazışmalar düzenli takip edilmeli,
- kabul ve staj tarihleri kesinleştirilmeden seyahat işlemleri konusunda dikkatli olunmalı,
- staj içeriği ayrıntılı şekilde öğrenilmeli,
- akademik uygunluk onayı alınmalı,
- Learning Agreement onayları tamamlanmalı,
- gerekli sigortalar yaptırılmalı,
- vize ve oturum koşulları araştırılmalı,
- konaklama öğrencinin kendisi tarafından zamanında planlanmalı,
- Erasmus+ Kurum Koordinatörlüğünün e-posta ve duyuruları düzenli takip edilmelidir.
Başvuru yapılmış veya seçilmiş olmak, öğrencinin staj kurumunu bulma ve hareketlilik öncesindeki yükümlülüklerini ortadan kaldırmaz.
Özellikle staj kurumu bulma, kabul alma, vize, konaklama ve ev sahibi kurumla yürütülen bireysel yazışmaların zamanında tamamlanması öğrencinin sorumluluğundadır.
