Application Procedure
This page provides the nomination, application and mobility procedures for incoming Erasmus+ students and staff who plan to carry out their mobility at Sivas Cumhuriyet University.
The procedure may differ depending on the Erasmus+ action, project, mobility type and the conditions of the relevant call. Participants should therefore follow both this general guidance and any specific instructions communicated by the Erasmus+ Institutional Coordination Office.
Eligibility and Preliminary Requirements
Individual application procedures begin only after the participant has satisfied the relevant Erasmus+ framework and institutional nomination requirements.
Eligible Institution
The participant must come from an institution eligible for the relevant Erasmus+ mobility and, where required, an appropriate institutional agreement or project must be in place.
Official Nomination
The participant must be officially nominated by the International Relations Office, Erasmus+ Office or authorised mobility unit of the sending institution.
Mobility Conditions
Academic, professional, language and mobility-specific eligibility requirements applicable to the activity must be satisfied.
KA131 and KA171 Incoming Mobilities
Incoming mobility procedures are administered according to the Erasmus+ action under which the participant is coming to Sivas Cumhuriyet University.
Incoming KA131 Mobilities
Eligible students and staff from partner institutions proceed through the institutional nomination and individual application process.
Incoming KA171 Mobilities Funded by SCU
Students or staff seeking to realise a KA171 mobility funded by Sivas Cumhuriyet University must first apply to an active KA171 call published by SCU and must officially be entitled to the mobility as a result of that call.
Following entitlement, the sending institution completes the nomination and the participant proceeds with the incoming application procedure.
KA171 call conditions take precedence
Where Sivas Cumhuriyet University publishes an incoming KA171 call, the eligibility criteria, application period, required documents, evaluation method, selection procedure and other provisions stated in that call must be followed.
The nomination and incoming application procedures on this page are completed following official entitlement to the KA171 mobility.
Nomination Procedure
Official nomination is required for incoming student and staff mobilities. Individual participants cannot nominate themselves.
Programme Countries
For KA131 mobilities from EU Member States and third countries associated to the Erasmus+ Programme.

Nomination e-mails must be sent by the authorised International Relations Office, Erasmus+ Office or equivalent mobility unit of the sending institution.
E-mails sent directly by participants are not accepted as official nominations.

What Happens After Nomination?
Once the nomination has been received and reviewed, eligible participants are informed about the individual application procedure.
Nomination
The sending institution officially nominates the student or staff member.
Instructions
SCU communicates the applicable application procedure to the nominee.
Application
The participant completes the forms and submits the required documents.
Review
Submitted information and documents are reviewed by the relevant units.
Acceptance
The acceptance procedure is completed for eligible applications.

Application Documents for Incoming Students
Learning Agreement and OLA
For applicable KA131 Study Mobilities, the Learning Agreement should be prepared through the EWP / Online Learning Agreement environment and approved by the participant, sending institution and Sivas Cumhuriyet University.
OLA is not applicable to KA171 mobilities. KA171 participants should use the appropriate Erasmus+ Learning Agreement document.
Student Mobility for Studies
Erasmus+ students coming to Sivas Cumhuriyet University for studies enrol in courses offered by the relevant faculties and departments.
Study mobility may normally cover one semester or a full academic year. The planned academic programme is recorded through the Learning Agreement and the ECTS system.
Students should review available courses, academic calendar, teaching language and departmental requirements before the mobility.
Student Mobility for Traineeship
Erasmus+ students may undertake a traineeship at Sivas Cumhuriyet University within an academic, research or administrative unit appropriate to the participant’s field and planned activities.
The host unit, planned tasks, learning outcomes and mobility period should be agreed before the mobility and recorded in the relevant Learning Agreement for Traineeships.
Traineeship mobility supports professional development, practical experience and intercultural competence.
Staff Mobility
Academic and administrative staff may participate in Erasmus+ Teaching or Training Mobility at Sivas Cumhuriyet University subject to institutional approval and the relevant mobility conditions.
Staff mobility is coordinated with the relevant host unit
Nomination and submission of an application do not automatically guarantee that the planned staff activity can be hosted.
The proposed teaching or training programme, dates and hosting unit must be considered appropriate and feasible by Sivas Cumhuriyet University.
Application Documents for Incoming Staff
Teaching Mobility Agreement
Incoming academic staff participating in teaching mobility must prepare the applicable Staff Mobility for Teaching Agreement.
The agreement should describe the teaching programme, objectives, added value of the mobility and planned teaching activities.
Training Mobility Agreement
Incoming academic or administrative staff participating in training mobility must prepare the applicable Staff Mobility for Training Agreement.
The agreement should define the objectives, programme and expected outcomes of training, job-shadowing or professional development activities.
Staff Mobility for Teaching
Academic staff from eligible partner institutions may carry out teaching mobility at Sivas Cumhuriyet University subject to acceptance by the relevant faculty, department or academic unit.
Activities may include lectures, seminars, workshops, academic discussions or other teaching activities compatible with the objectives of Erasmus+ staff teaching mobility.
The teaching programme, proposed dates and academic content should be coordinated with the relevant academic host before the mobility.
The required teaching hours and other activity conditions must comply with the applicable Erasmus+ programme and project rules.
Staff Mobility for Training
Academic and administrative staff may carry out Erasmus+ training mobility at Sivas Cumhuriyet University where a suitable host unit and activity programme can be identified.
Activities may include job-shadowing, observation, workshops, institutional meetings, professional exchange, staff weeks or other eligible skill-development activities.
The participant and relevant host unit should agree on the objectives, activity programme, mobility dates and expected outcomes before the mobility begins.
Staff Training Mobility is intended to strengthen professional competence, exchange institutional practices and support sustainable international cooperation.
Additional requirement for KA171 incoming staff
Staff members seeking an incoming KA171 mobility funded by Sivas Cumhuriyet University must first be officially selected under an active SCU KA171 call.
Following official entitlement, the sending institution must nominate the staff member and the participant must submit the applicable incoming staff application documents, including the Application Form, Incoming Mobilities Information Form and relevant Mobility Agreement.
Who Is Responsible for Each Step?
Successful incoming mobility requires cooperation between the sending institution, participant and Sivas Cumhuriyet University.
Nomination and Institutional Approval
- Confirms the participant’s eligibility.
- Submits the official nomination.
- Approves the relevant Learning Agreement or Mobility Agreement.
- Provides institutional information where required.
Application and Mobility Preparation
- Follows the application instructions.
- Completes all required forms accurately.
- Submits complete and valid documents.
- Follows deadlines and communication.
- Completes visa, insurance and travel arrangements.
Review, Hosting and Acceptance
- Reviews nomination and application information.
- Checks submitted documents.
- Coordinates the relevant host unit.
- Reviews academic or professional feasibility.
- Completes the acceptance procedure where appropriate.
Submission of an application does not constitute automatic acceptance
Nomination, submission of an Application Form or provision of application documents does not automatically create a right to carry out a mobility at Sivas Cumhuriyet University.
Applications are subject to eligibility, document, academic/professional and institutional review. Incomplete, invalid or inconsistent applications may not be processed or accepted.
Prepare for Your Mobility
After receiving formal acceptance, participants should complete the applicable pre-arrival arrangements before travelling to Sivas.
Starting Your Mobility
Follow the arrival and check-in instructions communicated by the Erasmus+ Institutional Coordination Office.
Complete the applicable student, staff or institutional registration procedures.
Contact the relevant faculty, department, coordinator or administrative host unit.
Changes to the Planned Activity
Changes must be approved where required
Any necessary changes to courses, traineeship activities, teaching activities or training activities should be communicated to the relevant host unit without delay.
Where required, changes must be reflected in the applicable Learning Agreement or Mobility Agreement and approved by the relevant parties.
Completion of the Mobility
At the end of the activity, the applicable participation, academic and mobility documents are prepared according to the mobility type.
Mobility Confirmation
Documents confirming the actual mobility period may be issued following completion of the activity.
Academic Records
For Study Mobility, applicable academic records and Transcript of Records are prepared according to the academic process.
Final Agreement
Where applicable, the final Learning Agreement or Mobility Agreement should reflect the activities actually completed during the mobility.
